How to Brief a Patch Supplier: What to Prepare Before You Order

The 7 Things Every Patch Brief Should Include

1. Your artwork file

Send the highest-quality version of your design you have. Vector files (AI, EPS, PDF) are ideal. If you don't have a vector file, a high-resolution PNG or JPG at 300 DPI or above works fine. Don't have any artwork? A rough sketch, a mood board, or a written description can be enough to get a proof started. See: How to Design a Custom Patch.

2. Desired size

Specify the size in centimetres — width, height, or diameter for circular patches. Most common sizes: 5 cm, 7 cm, 9 cm, 10 cm. If you're not sure, mention what the patch will be attached to and we'll recommend a standard size.

3. Shape

Standard shapes (circle, rectangle, shield, oval) are the simplest to produce. Die-cut shapes that follow the exact silhouette of your artwork are also available and often look more refined.

4. Patch type

Embroidered, PVC rubber, or silk screen hybrid — specify which type you want, or ask for a recommendation. See the full comparison: PVC Patches vs Embroidered Patches.

5. Attachment method

Iron-on, sew-on, or velcro. Include a sentence describing what the patch will be attached to (e.g. “to be ironed onto cotton tote bags” or “for a tactical vest with a velcro panel”) and the supplier will advise.

6. Quantity

State your required quantity. At Patch & Bagel, embroidered patches start from MOQ 10 pieces. It's worth ordering 10–15% extra to account for future replacements or additions.

7. Colour references

If your brand has specific colour standards, provide Pantone (PMS) colour codes. If not, a reference image or clear hex code is a good alternative.

Optional but Useful

  • A photo of where the patch will be worn/applied (helps with size and placement advice)
  • Reference patches — examples of patches you like, for style guidance
  • A deadline — if you have a hard event date, share it upfront
